Customer Service Coordinator

General Summary:

The Customer Service Coordinator will serve as a corporate concierge, providing assistance and services to visitors including; colleagues, customers, vendors, contractors, and other visitors. This position performs a variety of customer service and hospitality functions including providing financial administration support, phone coverage, distributing correspondence as well as primary responsibility for visitor first impression.


Principal Duties and Responsibilities:

  • Will be first point of contact for all visitors including: customers, suppliers, colleagues and guests.  
  • Assist in planning meetings, conferences and social events as needed.
  • Update Transfer prices in ZV47 & VK11 and Parts area.
  • Process Credit Memos
  • National Traffic Service billings on hold.
  • Matching freight billings to logistics files.
  • Special handling of International Invoices.
  • Provide regular phone coverage for Receptionist.
  • Maintain inventory of office supplies.
  • Work on special projects as needed.
  • Overall responsibility for the Welcome Center appearance and image.
  • Manage Marketing monitor communication program.
  • Manage business invitation letters for international customers.
  • Perform other duties as assigned.


Required Knowledge, Skills, and Abilities:

  • Experience and knowledge of customer service/hospitality principles.
  • Strong experience using Materials Management Systems (SAP preferred)
  • Proficient using Office (Excel, Access, Word, PowerPoint), Intranet/Internet Navigation
  • Basic understanding of accounting principles
  • Ability to handle confidential and proprietary information.
  • Demonstrated strong sense of teamwork
  • A high level of accountability and willingness to take ownership of activities and projects.
  • Strong written and verbal communication, attention to detail and ability to work effectively under pressure, problem solve and work without direct supervision




Education and Experience:

  • College degree or commensurate experience required;
  • 3 – 5 years customer service, Finance and/or executive assistant experience.
